Terms of Use
These terms apply to everyone who uses Momentum, the internal operations platform of EG On The Move. By signing in you agree to them. They sit alongside your contract and our other policies, including [the IT acceptable use policy] and [the information security policy]; if they conflict, [which prevails].
This is a template. Text in [square brackets] is for the organisation to complete, and the whole document should be reviewed before it is relied on.
Who may use Momentum
Momentum is for our colleagues, and for people working on our behalf, who have been given an account. It is for business use only.
Your account
- Your account is yours alone. Do not share your password or let anybody else use your sign-in. A unit's shared sign-in is for that unit's team, on that unit's business.
- Tell [the IT service desk — contact] straight away if you think somebody else has used your account, or if a device used for Momentum is lost or stolen.
- We may suspend or remove access at any time, including when you change role or leave.
Using it properly
You agree to:
- record information that is accurate, complete and honest — an audit, checklist or incident report is a business record and may be relied on by regulators, insurers and courts;
- complete tasks and audits yourself, at the time and place they describe, and not on somebody else's behalf unless the system is showing you as doing so;
- access only the units and information your role gives you, and use it only for your work;
- keep what you see in Momentum confidential. Do not copy, export, photograph or share it outside the business unless your role requires it.
You must not:
- attempt to get round access controls, test the system's security, or interfere with its operation;
- upload anything unlawful, offensive, or that you have no right to share;
- record more personal information about colleagues, customers or anybody else than the task needs.
Ask Mo, the assistant
- Ask Mo answers from the information you are already allowed to see. Its answers can be wrong or out of date. Check anything that matters against the record itself before acting on it; you remain responsible for decisions you make.
- We log all Ask Mo requests — your questions and its answers — and may review them. See the Privacy Policy.
- Do not enter personal or sensitive information about yourself or anybody else, and do not use it for anything unrelated to your work.
- Use is limited by daily credits.
Monitoring
Momentum records who signs in and what they change, and we may review those records to keep the system secure, investigate incidents and check that these terms are followed. See the Privacy Policy for what is kept and for how long.
Devices
Handhelds and terminals that run Momentum are business equipment. Keep them secure, do not install anything on them that has not been approved, and report loss or damage promptly.
Availability
We aim to keep Momentum available but do not promise that it always will be. Where a task is time-critical and Momentum is unavailable, follow [the paper or fallback procedure] and enter the record as soon as it returns.
Breaking these terms
Misuse of Momentum, including recording information you know to be false, may be dealt with under [the disciplinary procedure] and, where relevant, reported to the authorities.
Changes
We may update these terms. We will tell you when the change is significant; continuing to use Momentum after that means you accept them.
